With electronic signatures, courts can:

  • Integrate electronic signatures into workflows
  • Optionally store electronic signatures and apply them to documents later
  • Prompt for signatures based on case party - for example, if a defendant signature is needed for a particular document, the system will display a reminder that the defendant must sign the document

PCSS eSignatures is an add-on to the Judicial Enforcement Management System (JEMS) and Prosecuting Attorney Software (PAS) products. With eSignatures, court officials and case parties sign documents on an electronic signature pad.

Digital Signatures for a Paperless Court

Electronic Signatures plays an important role in the “paperless” court by allowing documents to be signed on an electronic signature pad, like the one shown above. This process allows the court to avoid using paper documents, which may become corrupted or lost, by storing the digital signatures electronically.

Security of Electronic Signatures

After a court official or case party signs a document with the electronic signature pad, the digital signature is stored as part of a PDF (Portable Document Format) file. The PDF file prevents any alteration of the signature.

Accuracy with Convenience

With PCSS eSignatures, courts can choose how electronic signatures will be applied:

  • Always prompt the individual to sign – A message appears whenever a document requires a signature; at that time, the appropriate individual (judge, clerk, or other case party) will sign an electronic signature pad.
  • Apply a stored signature to a document – When a document requires a signature, the system can automatically add that required signature to the document, if the signature was stored previously.

Electronic Signatures as Part of Workflow

By integrating electronic signatures with workflows, persons with required signatures will be prompted to apply signatures at the appropriate time. The workflow process will remind a court official such as a judge or the clerk to apply an electronic signature to the document. The final version of the document is stored as a secure PDF file with an embedded electronic signature.
